Vambridge ("Platform") is a comprehensive Education Management Platform owned, developed, and operated by Vambridge ( "Vambridge", "we", "our", or "us"). We are committed to protecting the privacy, confidentiality, integrity, and security of all information entrusted to us by educational institutions, administrators, teachers, staff members, students, parents, guardians, and other authorized users of the Platform.

This Privacy Policy describes the manner in which we collect, receive, store, process, use, disclose, transfer, retain, and protect personal information and institutional data that is provided to us or generated through the use of the Platform. It also explains the rights and choices available to users regarding their information and the measures we undertake to safeguard such information.

Vambridge has been designed to provide educational institutions with a centralized digital ecosystem that enables the efficient management of academic operations, student records, administrative processes, communication systems, attendance management, assessments, reporting, financial management, and institutional workflows. In delivering these services, we may process information relating to students, parents, guardians, teachers, staff members, administrators, institutional representatives, and other stakeholders.

By accessing, registering for, subscribing to, or using the Platform, you acknowledge that you have read, understood, and agreed to the practices described in this Privacy Policy.

2. OUR COMMITMENT TO PRIVACY

At Vambridge, we recognize that educational information is highly sensitive and requires the highest standards of protection. Educational institutions rely on us to securely manage operational and academic data that may include personal information of students, parents, guardians, teachers, and staff members. Accordingly, privacy and security are foundational principles embedded into the design, operation, and maintenance of the Platform.

We are committed to implementing reasonable administrative, technical, physical, and organizational safeguards to ensure that information entrusted to us remains protected against unauthorized access, disclosure, misuse, alteration, destruction, or loss.

3. INFORMATION WE COLLECT

The information collected through the Platform may vary depending on the services utilized by the educational institution and the nature of the user's interaction with the Platform.

We may collect information relating to educational institutions, including the institution's name, registration details, accreditation details, address, contact information, management information, authorized representatives, subscription information, billing details, and other organizational records required for onboarding and service delivery.

We may also collect information relating to students, including names, photographs, date of birth, admission numbers, roll numbers, class information, academic records, attendance records, examination performance, disciplinary records, extracurricular participation details, communication history, uploaded documents, identification records, and other educational information maintained by the institution.

In relation to parents and guardians, we may collect names, contact information, email addresses, phone numbers, emergency contact details, communication preferences, relationship details, and payment-related information where fee management services are utilized.

For teachers, faculty members, and staff personnel, the Platform may collect information such as employee identification numbers, designation details, attendance information, departmental records, qualification details, employment-related records, communication records, payroll-related information where applicable, and other administrative data necessary for institutional operations.

In addition to information directly provided by institutions and users, we may automatically collect technical information such as device identifiers, browser type, operating system, IP address, access logs, usage patterns, session information, network information, application diagnostics, and platform interaction data for operational, security, and analytical purposes.

4. METHODS OF COLLECTION

Information may be collected directly from educational institutions during onboarding, implementation, configuration, and ongoing use of the Platform. Institutions may upload data manually, through bulk imports, through integrations with existing systems, or through automated synchronization processes.

Information may also be collected when users create accounts, update profiles, communicate through the Platform, submit forms, upload documents, participate in assessments, access reports, make payments, or utilize any of the services provided through Vambridge.

Certain information may be collected automatically through cookies, tracking technologies, system logs, analytics tools, and security monitoring systems that help us improve platform performance, reliability, and user experience.

5. PURPOSES FOR WHICH INFORMATION IS USED

Information collected through the Platform is used primarily to provide, maintain, support, and improve educational management services.

We may use information to facilitate admissions and enrollment processes, maintain student records, manage attendance, conduct assessments, generate academic reports, administer institutional workflows, manage staff records, facilitate communication between institutions and stakeholders, process fee-related activities, provide dashboards and analytics, generate operational insights, and enable institutional decision-making.

Information may also be used to monitor platform performance, identify and prevent security threats, investigate suspicious activities, comply with legal obligations, enforce contractual rights, respond to support requests, and improve the overall functionality and efficiency of the Platform.

Where permitted by law, aggregated and anonymized information may be used for research, product development, service enhancement, performance benchmarking, trend analysis, and operational improvements. Such information does not identify individual users.

6. LEGAL BASIS FOR PROCESSING

We process information based on lawful grounds including the performance of contractual obligations, legitimate business interests, compliance with legal and regulatory requirements, institutional authorization, and consent where required under applicable laws.

Educational institutions utilizing the Platform represent and warrant that they have obtained all necessary consents, permissions, notices, authorizations, and approvals required for the collection, storage, processing, and sharing of information through the Platform.

The institution remains responsible for ensuring compliance with applicable educational, privacy, child protection, and data protection laws in relation to the information it provides to the Platform.

7. ROLE OF VAMBRIDGE

In most circumstances, educational institutions determine the purposes and means of processing information stored on the Platform. Accordingly, the institution generally acts as the controller or owner of the data, while Vambridge functions as a technology service provider facilitating the storage, processing, transmission, organization, and management of such information.

Our role is limited to providing and supporting the technological infrastructure necessary for the institution to manage its educational and administrative operations effectively.

8. DATA SHARING AND DISCLOSURE

We do not sell, rent, trade, or commercially exploit personal information belonging to users, institutions, students, parents, guardians, teachers, or staff members.

Information may be disclosed to authorized personnel within the institution based on their assigned roles and permissions. Access controls are implemented to ensure that users can only access information relevant to their responsibilities and authorization levels.

We may engage trusted third-party service providers, cloud hosting providers, infrastructure partners, cybersecurity providers, communication service providers, payment service providers, analytics vendors, and technical support partners who assist us in delivering the Platform. Such third parties are contractually obligated to maintain appropriate confidentiality and security safeguards.

Information may also be disclosed where required by law, court order, governmental authority, regulatory body, law enforcement agency, judicial proceeding, or statutory obligation. In such circumstances, disclosures shall be limited to the extent legally required.

While we continuously strive to maintain industry-standard security practices, no electronic transmission system, internet-based service, or storage infrastructure can be guaranteed to be completely secure. Users acknowledge and accept the inherent risks associated with electronic communications and digital data processing.

10. CHILDREN'S AND STUDENT DATA

Because Vambridge is intended for educational institutions, the Platform may process information relating to minors and students under the age of majority.

Such information is processed solely for educational, administrative, operational, and institutional purposes as authorized by the relevant educational institution. Educational institutions are responsible for obtaining all necessary parental consents, notices, permissions, and authorizations required under applicable laws.

Vambridge does not knowingly collect student information directly from children for independent commercial purposes and does not use student information for behavioral advertising or unrelated commercial profiling activities.

11. PARENTAL CONTROL

Where required under applicable laws, the Institution shall obtain verifiable parental or legal guardian consent before collecting, processing, or sharing any personal data of minors through the Platform. The Institution shall also provide parents or legal guardians with appropriate notices regarding the processing of such data and facilitate the exercise of their rights, including the right to access, review, correct, or request deletion of a minor's personal information, subject to applicable legal and regulatory requirements. Vambridge shall process such information solely on the documented instructions of the Institution and shall not be responsible for independently verifying the existence or validity of parental consent obtained by the Institution.

12. COOKIES AND SIMILAR TECHNOLOGIES

The Platform may utilize cookies, session identifiers, web beacons, pixels, local storage technologies, and similar mechanisms to improve functionality, maintain secure user sessions, enhance performance, analyze usage patterns, remember preferences, and provide a better user experience.

These technologies may collect information regarding browser type, device characteristics, session activity, usage behavior, and interaction patterns. Users may manage cookie preferences through browser settings; however, disabling certain cookies may affect platform functionality.

13. DATA RETENTION

Information shall be retained for as long as necessary to fulfill the purposes for which it was collected, to provide services to educational institutions, to comply with contractual obligations, to satisfy legal and regulatory requirements, and to resolve disputes or enforce agreements.

The duration of retention may vary depending upon the nature of the information, applicable legal obligations, institutional requirements, operational necessities, and contractual arrangements. Following termination of services, information may be archived, anonymized, returned to the institution, or securely deleted in accordance with applicable agreements, retention schedules, and legal requirements.

14. USER RIGHTS

Subject to applicable laws and institutional policies, users may have the right to request access to their personal information, seek correction of inaccurate or incomplete information, request updates, object to certain processing activities, withdraw consent where applicable, and request deletion of information where legally permissible. Requests relating to student records may need to be directed through the relevant educational institution, which remains the primary owner and administrator of such records. We may require reasonable verification of identity before processing privacy-related requests.

15. THIRD-PARTY INTEGRATIONS

The Platform may integrate with third-party educational tools, communication systems, payment gateways, learning management systems, accounting software, government portals, identity verification providers, and other external services.

Such third-party services operate independently and may maintain their own privacy policies and practices. We encourage institutions and users to review the privacy policies of any third-party services before utilizing such integrations.

Vambridge shall not be responsible for the privacy, security, or operational practices of third-party services that are not owned or controlled by the Company.

16. POLICY UPDATES

We reserve the right to amend, modify, revise, or update this Privacy Policy from time to time to reflect changes in legal requirements, technological developments, operational practices, service enhancements, or regulatory expectations.

Updated versions shall be published on the Platform and shall become effective upon publication unless otherwise specified. Continued use of the Platform following publication of revised policies constitutes acceptance of the updated Privacy Policy.

17. GOVERNING LAW

This Privacy Policy shall be governed by and interpreted in accordance with the laws of India. Any dispute arising from or relating to this Privacy Policy shall be subject to the exclusive jurisdiction of the courts situated in Mumbai, Maharashtra.
